Privacy notice

1. Who we are

Hydra Estate, based at Herengracht 142, 1015 BW Amsterdam, Chamber of Commerce 42062654, is the controller for the personal data processed through this website. Questions about privacy? Email info@hydra-estate.nl. This notice covers visitors to the website and people who contact us or sign up through a form on the website. For buying and rental support, the arrangements on personal data are also set out in the service agreement.

2. The data we process

We process the data that you provide to us yourself, through:

• The contact form: salutation, first and last name, email address, telephone number, the subject and your message.
• The valuation form: the address and characteristics of the property, any photographs, the reason for the valuation and your preferred timeline, whether an agent is already involved and your comments, plus your name, email address and telephone number.
• The sign-up form for buying or rental support: your name, email address and telephone number, plus your search brief, such as area, type of home, budget, financing, timing and your situation.
• The newsletter sign-up: first and last name, email address and the language in which you want to receive the newsletter.
• Downloading a guide or checklist: we ask for nothing. If you also tick the newsletter box, we ask for your first and last name and email address, just as for the newsletter sign-up. Without the tick, we do not sign you up.
• Scheduling an appointment (via Calendly): name, email address, phone number and the appointment details. If you schedule a call after a request, the website fills in a short summary of your request in Calendly, so the call is about the right question. The Calendly calendar only loads once you click the button.

In addition, our systems process technical data such as your IP address, browser type and the time of a request: for the operation and security of the site, and only with your consent also to measure how the site is used.

3. Purposes and legal bases

• Contact and quotations: to respond to your enquiry and provide our services. Legal basis: performance of a contract or steps taken prior to entering into one, and our legitimate interest in responding.
• Valuation: to carry out a valuation and follow-up contact. Legal basis: performance of a contract or steps taken prior to entering into one.
• Newsletter: to send you our newsletter. Legal basis: your consent. You can unsubscribe at any time via the link at the bottom of every newsletter.
• Buying and rental support: to assess and follow up your request. Legal basis: performance of a contract or steps taken prior to entering into one.
• Spam protection: we use Google reCAPTCHA to prevent misuse of our forms. Legal basis: legitimate interest.
• Website statistics: only if you give your consent, we use Google Analytics to measure how the site is used. Legal basis: your consent, which you can withdraw at any time via the cookie settings.

4. Who we share data with (processors)

We do not sell your data. For the operation of our site and our administration we engage service providers that process data as processors on our behalf:

• Google (Google Workspace for email and, with your consent, Google Analytics)
• HubSpot (CRM, to manage contacts and enquiries)
• Make.com (to process form submissions automatically)
• Our website's hosting provider
• Cloudflare (delivery of the site, video playback and the system that sends our newsletter)
• Resend (sending the newsletter by email)
• Calendly (to schedule appointments)

Some of these parties process data (partly) outside the European Economic Area, in particular in the United States. Appropriate safeguards apply to such transfers, such as the European Commission's Standard Contractual Clauses. For spam protection on our forms we also use Google reCAPTCHA. Google processes that data under its own privacy policy and terms; each form links to them.

5. How long we keep data

We do not keep your data longer than necessary. We retain enquiries and contact details for as long as needed to handle them and for a reasonable follow-up period, and thereafter in accordance with our statutory retention obligations. If you unsubscribe from the newsletter, we stop sending it. If you were only a newsletter reader, we delete your details from our customer system once they have not changed for a year, usually twelve to thirteen months after you unsubscribe. They can be restored for 90 days after that and are then gone for good. Until then we keep your name, email address and language choice together with a record of your unsubscribing, so that we can show that you unsubscribed. You can always ask us to delete them sooner: email info@hydra-estate.nl.

6. Your rights

You have the right to access, rectification, erasure, restriction and portability of your data, and the right to object to the processing. You can withdraw any consent given at any time. Send your request to info@hydra-estate.nl. If you disagree with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

7. Cookies

Our website uses cookies and similar techniques:

• Functional and necessary cookies: required for the site and forms to work and to keep them secure, such as Cloudflare's security cookie. No consent is needed for these.
• Google reCAPTCHA: sets cookies to distinguish humans from bots and prevent misuse.
• Analytics cookies: only if you give your consent in the cookie notice, Google Analytics sets cookies to measure how the site is used. Without consent we do not load this script.

You can adjust your cookie preferences at any time via the cookie settings on the site, and delete cookies via your browser settings.

8. Security

We take appropriate technical and organisational measures to protect your data against loss or unlawful use, including secure connections and spam protection on our forms.
